PhotoCove

Terms of Service

Effective October 20, 2026

These terms are an agreement between you and Northline Software LLC (“PhotoCove”, “we”, “us”) for your use of PhotoCove at photocove.app. By creating an account or using PhotoCove, you agree to them. If you use PhotoCove for a business, you agree on its behalf.

Our Privacy Policy explains how we handle personal information.

1. What PhotoCove is

PhotoCove gives photographers (“you”) tools to deliver photos in online client galleries, take bookings, have clients sign contracts, and collect deposits from their clients. Your clients use galleries and booking pages without a PhotoCove account. PhotoCove is in early access: features may change, and we may limit who can sign up.

2. Your account

  • You must be at least 18 and able to enter a binding contract.
  • Give us accurate information and keep your password secure. You're responsible for activity on your account.
  • Tell us right away at support@photocove.app if you think someone else has accessed it.

3. Your photos and content

You keep ownership of the photos, text and other content you upload. You give us a limited license to store, copy, resize, watermark and display it, and to deliver it to the people you share it with, only as needed to run PhotoCove for you. This license ends when you delete the content, except for copies in backups that are overwritten in the normal course.

You confirm that you have the rights and permissions needed for everything you upload, including model and client consent where the law requires it.

4. Acceptable use

Don't use PhotoCove to:

  • upload content that is illegal, infringes someone else's rights, or sexually exploits minors;
  • harass people, send spam, or email people who didn't ask to hear from you;
  • sell anything illegal or take payments for anything other than your photography services;
  • break, overload, probe or get around the security of PhotoCove, or access other studios' data;
  • resell PhotoCove or use it to host files unrelated to your photography.

We may remove content or suspend accounts that break these rules, and report illegal content to the authorities.

5. Plans, trials and billing

  • Plans and prices are listed on our pricing page. Each plan includes a storage limit; uploads stop when you reach it until you upgrade or delete photos.
  • On the Free plan, client galleries close to clients 60 days after they're created. They aren't deleted: upgrading reopens them.
  • Paid plans may start with a 14-day free trial, offered once per studio. Unless you cancel before it ends, your card is charged for the plan you chose.
  • Paid plans renew automatically each month or year until you cancel. You can cancel at any time from Plan & billing; your plan stays active until the end of the period you've paid for. We don't refund partial periods, except where the law requires it.
  • Plan changes take effect right away and are prorated. We may change prices with at least 30 days' notice by email; the change applies from your next renewal.
  • Subscription payments are processed by Stripe. If a payment fails, we may limit your account until it's resolved.

6. Client bookings, deposits and invoices

Bookings, invoices and payments made through PhotoCove are an agreement between you and your client. PhotoCove provides the tools but isn't a party to it. You're responsible for your prices, cancellation and refund policy, the services you deliver, what your invoices say (including any sales tax you charge), and following the law that applies to your business, including taxes.

Payments through Stripe. When clients pay deposits or invoices online, you are the seller: payments go to your own Stripe account, you pay Stripe's processing fees, and you handle refunds, disputes and chargebacks. PhotoCove doesn't take a fee from client payments.

Payment processing services for photographers on PhotoCove are provided by Stripe and are subject to the Stripe Connected Account Agreement, which includes the Stripe Terms of Service (together, the “Stripe Services Agreement”). By agreeing to these terms or continuing to take payments through PhotoCove, you agree to be bound by the Stripe Services Agreement, as Stripe may modify it from time to time. As a condition of PhotoCove enabling payment processing through Stripe, you agree to give PhotoCove accurate and complete information about you and your business, and you authorize PhotoCove to share it and transaction information related to your use of Stripe's payment processing services.

Payments you collect yourself. If you collect deposits or invoices outside PhotoCove (for example by Venmo, Zelle or cash), PhotoCove only shows your instructions to clients and records what you mark as received. We don't handle that money and aren't responsible for it.

7. Contracts and e-signatures

You can ask clients to sign a contract when they book. You write the contract and are responsible for its terms and for whether it's suitable and enforceable for your business; PhotoCove isn't a party to it and doesn't give legal advice. PhotoCove records the signed text, the signature and a signing record (time, IP address and browser), and keeps them available to you and your client. Some agreements can't be signed electronically under the law that applies to them; it's up to you not to use PhotoCove for those.

8. Your clients' information

Your clients' names, email addresses, phone numbers and other details they give through your galleries and booking pages are yours to use for your business. We process them on your behalf, as described in our Privacy Policy. You're responsible for having a lawful reason to collect and use them, and for any messages you send clients through PhotoCove.

9. Availability and changes

We work to keep PhotoCove running and your photos safe, but we don't promise it will always be available or error-free. Keep your own copies of your original photos; PhotoCove isn't a backup service. We may add, change or remove features. If we make a change that significantly reduces what a paid plan includes, we'll tell you in advance.

10. Cancelling and closing accounts

You can stop using PhotoCove at any time. To delete your account and its data, email support@photocove.app. We may suspend or close an account that breaks these terms, puts others at risk, or stays unpaid; where reasonable, we'll warn you first and give you a chance to download your photos. After an account is closed, we delete its content within a reasonable time, except where the law requires us to keep records (such as payment records).

11. Disclaimers

PhotoCove is provided “as is” and “as available”. To the extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement.

12. Limitation of liability

To the extent the law allows, PhotoCove won't be liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or goodwill. Our total liability for any claim about PhotoCove is limited to the greater of the amount you paid us in the 12 months before the claim, or $100.

13. Indemnity

You'll defend and compensate PhotoCove for claims, losses and costs (including reasonable legal fees) that come from your content, your services to your clients, or your breach of these terms.

14. Changes to these terms

We may update these terms. If a change is significant, we'll tell you by email or in PhotoCove before it takes effect. Continuing to use PhotoCove after that means you accept the new terms.

15. Governing law

These terms are governed by the laws of the State of Georgia, without regard to its conflict-of-law rules. Disputes will be heard in the state or federal courts located in Georgia, and you and we consent to their jurisdiction.
